The Situation

A three-provider urgent care clinic had a persistent problem: same-week cancellations went unfilled because there was no fast, reliable way to match an open slot to a waiting patient before the slot simply expired.

The Approach

We built an automated waitlist-matching system that triggered the moment a cancellation came in — checking eligible waitlisted patients by urgency and availability, and sending an immediate booking link rather than waiting for staff to notice the opening

The Result

The clinic filled 22% more same-week slots that would have otherwise gone empty, and no-show rates dropped 15% as a side effect — patients who'd been actively waiting for an opening were far more likely to show up than those booked further in advance.
